Administrative Assistant Resume Example

Administrative resumes are screened for proof you can run an office without being asked twice: who you supported (titles and headcount), which tools you live in (Microsoft 365, Google Workspace, Concur), and whether you have improved anything — not just maintained it.

The strongest bullets read like operations metrics: meetings coordinated per week, travel spend managed, expense volume processed, hours saved by a process you built. "Responsible for scheduling" gets skimmed; "owns 3 executive calendars across 4 time zones" gets a call.

What matters for a administrative assistant resume

Name who you supported

"Supported C-suite" is vague; "supported the CEO, CFO, and VP of Client Services" sets scope instantly. Titles and headcount are the first thing a hiring manager scans for.

List tools by name

Outlook, Excel, Teams, Concur, SharePoint, Google Workspace. Postings filter on exact tool names, and admin roles are ATS-screened harder than you would expect.

Quantify the boring stuff

Trips per year, expense dollars per month, meetings per week, response time in hours. Administrative work is measurable — measure it.

Show one process you improved

A checklist, a triage system, a vendor renegotiation — with the time or money it saved. That single bullet is what separates "assistant" from "runs the office".

FAQ

How do I make administrative work sound impressive?

Do not dress it up — quantify it. "Answered phones" is weak; "ran front office for 60 people and cut response time from 24 hours to 4" is the same job, told with numbers. Scope and volume are your credibility.

Should I list software I only use occasionally?

List what you could walk into an office and use on day one. A hiring manager may test Excel in the interview — 12 tools you barely know reads worse than 6 you own.

Is an objective statement worth it for admin roles?

No. Use a two-line summary: years supporting, level of executives, your best metric. "Seeking a challenging position" tells a hiring manager nothing.
